Coordinating projects across three departments, I have a love-hate with Notion. The flexibility means every team has built their workspace differently and pulling status across them is painful. We attempted to standardise project tracking in a master Notion database but the discipline didn't hold. Database views are powerful but rendering performance suffers on big datasets. I've moved most actual project tracking to Asana which is better suited to my workflow, using Notion for documentation. The handoff between Notion and our other tools is largely manual. Permissions and sharing controls have caused me grief multiple times when external collaborators couldn't access what they needed. Customer support hasn't been particularly responsive when I've raised account-level issues.

New hires get a full guided onboarding flow built in Notion that has materially shortened ramp time. We've replaced four standalone tools with Notion functionality good enough for our scale. The trade-off is that everything in Notion is a little bit of a compromise compared to specialised tools. Calendar view is fine but not Google Calendar. Project boards work but lack PM-tool depth. For a small consultancy this consolidation is a feature not a bug.

For a team our size, that adds up in both time and subscription costs. It should not be this patchy in 2024.
The workspace itself is genuinely flexible, and the database views have saved my team real headaches when tracking cross-functional work. I'm not walking away from Notion. But if integrations are a core part of how your team operates, go in with clear eyes. Their API has improved, and I appreciate that they're building toward something better. It's just not quite there yet, and five years of waiting has taught me to manage my expectations.
