Onboarding new staff is where Insightly earns its keep. When my organization added six more coordinators over the past year, the learning curve was genuinely short, contacts and tasks are laid out logically, and the G Suite integration meant nobody had to change how they handle email. For a non-profit juggling donor relationships, program timelines, and volunteer records all at once, having one place that most people can navigate without training sessions is not a small thing.
That said, scaling brings its own friction. Permission controls are blunt. I cannot give a junior coordinator read access to one project type without opening up more than I want them to see, and that has caused some awkward conversations. Customer support response times also slowed noticeably when I had multiple tickets open at once, which happened a lot during our busiest enrollment period. The value is fair for a small team, but as headcount grows, the gaps start to show.
