Two hundred people suddenly onboarded to the same project management platform is a stress test for any tool, and Zoho Projects passed ours without much drama. What struck me first, and still strikes me two years later, was how clean the navigation feels. Everything is where you expect it. Tasks, milestones, Gantt charts, calendars, the forums module for async threads with scattered teams. You don't spend time hunting, which sounds trivial until you're managing a rollout of that scale and watching people who have never touched the software figure it out in under an hour.
The day-to-day usability is genuinely the story here. I open the Gantt view every morning and it's just... readable. Dependencies are clear, drag-to-reschedule works reliably, and the task status reports don't bury you in clicks. The document management piece integrates well enough that my cross-functional teams stopped emailing attachments around, which I didn't expect to fix so quickly. Time tracking and billing (on our paid tier) exports cleanly to a spreadsheet when finance needs it. Tiny thing, but appreciated.
A couple of honest caveats. The Bug Tracker module, which we use internally as an incident tracker, has a config menu that feels older than the rest of the interface. Not broken, just clunky compared to the main task views. Customer support has been solid for critical issues but slower on the smaller questions. Neither of those has made me regret the decision. For an enterprise rollout where usability friction can tank adoption, Zoho Projects held up better than I expected it to.
